Does our practice take Aetna?

We accept Aetna for psychiatric evaluation, medication management, and therapy. If your employer has changed carriers, call our billing team before your next appointment rather than after it.

Adult & Child Counseling & Psychiatric Center accepts Aetna at our Melbourne office, for psychiatric evaluation, medication management, and therapy. Most Aetna cards reach us through an employer rather than being bought directly, and that is worth knowing, because an employer's benefits change on a schedule that has nothing to do with where you are in a course of care.

The plan year turns over. Treatment does not.

Employer benefits usually reset at the start of a plan year, and that is when an employer can move its people to a different carrier. The card in the wallet changes, whatever has been paid down over the year starts again, and none of it is timed around anybody's treatment.

A change of card is an easy reason to put an appointment off, and put off is how a gap starts. Call us instead of waiting for the next visit to find out where you stand. Sorting out a card in January is a short conversation. Restarting after three missed months is not.

What to do when the carrier changes mid-course

Tell us as soon as you know, not when you next walk in. Read out the new member ID, the group number, and the plan or network name, and our billing team will find out what the new plan asks for before the appointment rather than at the desk.

Some plans have a process for continuing with a provider you are already seeing after a change of carrier, and where one exists it usually has a deadline attached. Whether yours has one is a question for the plan, and our billing team will help you put it to them. We would rather raise it early than find out the window has closed.

The name on the card is often not the name of the patient

On an employer plan the card is issued in the employee's name and the family is covered under it. When the patient is a child or a spouse, that catches people out on the phone more than anything else: the plan is looked up by the subscriber's details, and the patient is identified within it by their own date of birth.

We see children, adolescents, adults and older adults, so a family working from one employer plan can often keep everyone in one practice. Have both names and both dates of birth ready and the call takes a few minutes rather than two attempts.

My employer switched to Aetna in January. What should I do?
Call before your next appointment with the new member ID, the group number and the plan name. Our billing team will check the new plan and tell you what, if anything, changes about how you are seen here.
Do I need a referral or an authorization with Aetna?
It depends on the plan your employer bought, and two plans from the same carrier can differ on this. Our billing team will confirm what yours requires so nothing is held up at the desk.
Can my spouse and children be seen here on the same plan?
Subject to the plan, yes. We treat children, adolescents, adults and older adults, so families frequently keep more than one person in this practice. Give us the subscriber's name and each patient's date of birth when you call.
